About The Role

The Proposal Manager is an individual contributor responsible for coordinating assigned RFP, RFI, RFQ, and other bid responses within a Value-Added Reseller (VAR) environment. Assigned opportunities will be managed under the direction of the Lead Proposal/Contracts Manager.

The Proposal Manager will ingest solicitation materials, organize requirements, assemble the appropriate internal response team, identify required content, and determine which materials may be adapted from prior responses or approved content libraries. This role will assign content requests to appropriate subject matter experts, monitor deadlines, follow up on outstanding inputs, and assemble contributions into a polished, compliant, and professional deliverable.

The role requires strong project coordination, writing, editing, organization, and follow-through. Success requires the ability to manage multiple deadlines, coordinate contributors across functions, and maintain a high level of accuracy and quality without direct reports or direct client interaction.

Must be based in the United States.

Other responsibilities include:

  • Manage assigned RFP, RFI, RFQ, and bid responses under the direction of the Lead Proposal/Contracts Manager.
  • Review and ingest solicitation documents, including requirements, evaluation criteria, instructions, timelines, forms, exhibits, and submission requirements.
  • Create response plans, compliance matrices, content outlines, schedules, and task assignments for each assigned opportunity.
  • Assemble the appropriate response team, including sales, technical, delivery, finance, operations, vendor, subcontractor, and subject matter expert resources.
  • Identify required proposal content and determine whether appropriate material exists in prior responses, templates, approved content libraries, or other company resources.
  • Assign content requests to the appropriate internal resources and clearly communicate requirements, deadlines, and expected deliverables.
  • Follow up with contributors on outstanding content, clarify requirements, and escalate delays or issues to the Lead Proposal/Contracts Manager.
  • Collect, organize, and consolidate responses from multiple contributors into a cohesive proposal package.
  • Write, edit, and refine proposal content to improve clarity, consistency, grammar, formatting, flow, and alignment with the solicitation requirements.
  • Develop or coordinate standard proposal components, including executive summaries, company overviews, solution descriptions, project approaches, qualifications, resumes, case studies, and supporting documentation.
  • Ensure that responses address all applicable requirements and follow the required structure, format, naming conventions, and submission instructions.
  • Coordinate internal reviews and approvals, incorporating feedback and maintaining version control throughout the response process.
  • Work with pricing, finance, delivery, and technical resources to incorporate accurate solution details, cost information, staffing plans, assumptions, and supporting documentation.
  • Track addenda, amendments, clarifications, and changes provided through internal channels or procurement portals, as directed by the Lead Proposal/Contracts Manager.
  • Prepare final proposal packages for internal approval and submission by the designated owner.
  • Maintain an organized database of prior responses, reusable content, case studies, resumes, certifications, and other proposal materials.
  • Evaluate completed proposals for content that may be repurposed, updated, retired, or added to the proposal content library.
  • Maintain content metadata, including dates, subject areas, contributors, clients, industries, technologies, and approved use cases, to support efficient future searches and reuse.
  • Support post-submission activities, including clarification responses, revisions, presentations, and other follow-up materials as assigned.
  • Document lessons learned and contribute to improvements in proposal workflows, templates, tools, and content management practices.
  • Track assigned proposal activity, deadlines, status, and outcomes for reporting by the Lead Proposal/Contracts Manager.
  • Support related contracts, compliance, and documentation activities as assigned.
  • Complete ongoing security awareness training and comply with company policies to the requirements section

Pursuant to the NYC Pay Transparency Law, the base salary range in New York City for this position is $110,000, plus opportunities for profit-sharing bonus and/or commission. Compensation in other geographies may vary.

SUMMARY

The IT Solution Delivery Manager serves as the primary connection between business units and the technology organization. You support relationships with functional leadership, translate business goals into actionable technology roadmaps, and move initiatives seamlessly from ideation through business case funding, requirements definition, technical delivery, and end-user adoption.

This is a individual contributor role. While you will not manage a direct team or departmental budget, you will heavily influence both by building executive trust, presenting persuasive investment cases, and driving cross-functional delivery accountability without formal authority.

ROLE AND RESPONSIBILITIES

  • Serve as the point of contact between the business and IT; build relationships deep enough that you’re pulled into planning conversations before a request is ever filed.
  • Develop a working understanding of how the business operates (e.g., processes, pressures, metrics, and constraints) and use that to identify where technology will and won’t move the needle.
  • Build the business case for proposed initiatives: problem definition, options, cost, expected benefit, and risk.
  • Elicit and document business requirements to a standard that delivery teams can build against, such as process flows, use cases, acceptance criteria, and clear articulation of what is out of scope.
  • Manage assigned projects end to end, scope, plan, risk, dependencies, stakeholder communication, and delivery against committed dates.
  • Partner with architecture, engineering, security, and vendor teams to shape solutions; evaluate build-versus-buy options and participate in vendor selection.
  • Establish delivery governance checkpoints and milestone tracking to ensure solution designs align with technical standards, security policies, and performance goals.
  • Lead operational readiness strategies, change enablement, and go-live transitions to ensure business teams are fully trained and systems transition cleanly into support.
  • Drive adoption after go-live. Track whether the promised benefits were realized and report honestly when they weren’t.

QUALIFICATIONS

  • 8+ years of experience spanning business analysis, project or program management, and business-facing technology delivery roles.
  • Demonstrated ability to influence senior stakeholders without formal authority. Have a track record of getting initiatives funded and prioritized on the strength of the case you made.
  • Strong requirements discipline. You can run a workshop with people who disagree with each other and come out with documentation everyone signs off on.
  • Practical project management experience across the full lifecycle, in Agile environments.
  • Fluency in [business domain — e.g., financial close, supply chain, revenue operations] sufficient to hold your own in a conversation with functional leaders.

What Success Looks Like

  • First 90 days: You’ve met members of the business, understand their core processes and pain points, have reviewed and obtained ownership of at least one critical project
  • First 6 months: A prioritized roadmap exists and has leadership buy-in. At least one initiative has moved from idea to funded and underway. Stakeholders come to you before going around IT.

COMPENSATION

In addition to the benefits below, this role has a pay range between $125,000 - $159,000 and equity. The pay range represents what we believe, in good faith, this role will pay. The final salary offer will be determined based on a variety of factors including, but not limited to, depth of experience, geographic location, and relevant education/training.

The Opportunity

The Implementation Specialist is a hands-on role that supports bringing complex HR, benefits, and payroll clients live on our platform. You will do the configuration, data migration, and testing yourself, not just manage it from a distance.

Reporting to the Head of Implementations, you will support onboardings end to end and be the connective tissue that ensures what was sold is what gets delivered. This role is ideal for someone who has implemented outsourced Payroll and HR services at a PEO, an HRO, or an HRIS technology vendor, and who wants to do the work, contribute to the outcome, and help shape how we implement as we scale.

Reporting and Scope

  • Reports to: Head of Implementations (Molly Taylor)
  • Department and team: Client Success, Implementation Team
  • Location: Remote (U.S.)
  • Key partners: Sales, Client Success, Service Delivery, the internal Technology team, Product, and Finance, along with HRIS and benefits carrier partners

Core Responsibilities:

Client Implementations (hands-on)

  • Support and help execute new client onboardings across HR administration, payroll, benefits, and leave of absence services, from kickoff to a clean handoff to the ongoing service teams.
  • Contribute directly to the outcomes that matter: time to live, client satisfaction at go-live, and a smooth transition to Service Delivery.
  • Help build and maintain the implementation project plan, support progress against milestones, and help keep every workstream on schedule.

Platform Configuration, Data Migration, and Integrations (hands-on)

  • Configure the client’s HRIS and complete the build yourself on platforms including ADP Workforce Now, Paylocity, and Rippling, and in our Salesforce environment.
  • Run data migrations and validate the results: employee data, payroll history, benefit plans and deductions, and PTO balances.
  • Stand up the data interfaces that keep everything in sync, including benefits carrier EDI feeds and GL file feeds, partnering with our internal Technology team where deeper build is required.

Cross-Functional Partnership

  • Work hand-in-hand with Sales, Client Success, Service Delivery, Product, and Finance to align on client expectations, scope, pricing assumptions, and post-implementation transitions.
  • Be the connective tissue that ensures what was sold is what gets delivered.

AI, Automation, and Continuous Improvement

  • Identify and champion opportunities to apply AI, automation, and modern tooling to implementation workflows. This is a priority investment area for Melita.
  • Document and improve implementation workflows so each onboarding is faster and cleaner than the last.

What We Are Looking For

  • Very strong, hands-on experience supporting and implementing outsourced Payroll and HR services, ideally gained at a PEO, an HRO, or an HRIS technology vendor that installs a full HRIS together with outsourced services.
  • Hands-on HRIS implementation experience on one or more major platforms (ADP Workforce Now, Paylocity, or Rippling), including configuration and data migration.
  • Hands-on payroll processing experience, multi-state processing, tax setup, and mid-year conversions with YTD balancing

The Opportunity

Every new client relationship begins with implementation, and the quality of that experience sets the trajectory for retention, expansion, and reference-ability for years to come. The Implementation Specialist is a hands-on role that supports bringing complex HR, benefits, and payroll clients live on our platform. You will do the configuration, data migration, and testing yourself, not just manage it from a distance.

Reporting to the Head of Implementations, you will support onboardings end to end and be the connective tissue that ensures what was sold is what gets delivered. This role is ideal for someone who has implemented outsourced Payroll and HR services at a PEO, an HRO, or an HRIS technology vendor, and who wants to do the work, contribute to the outcome, and help shape how we implement as we scale.

  • Key partners: Sales, Client Success, Service Delivery, the internal Technology team, Product, and Finance, along with HRIS and benefits carrier partners

Core Responsibilities:

Client Implementations (hands-on)

  • Support and help execute new client onboardings across HR administration, payroll, benefits, and leave of absence services, from kickoff to a clean handoff to the ongoing service teams.
  • Contribute directly to the outcomes that matter: time to live, client satisfaction at go-live, and a smooth transition to Service Delivery.
  • Help build and maintain the implementation project plan, support progress against milestones, and help keep every workstream on schedule.

Platform Configuration, Data Migration, and Integrations (hands-on)

  • Configure the client’s HRIS and complete the build yourself on platforms including ADP Workforce Now, Paylocity, and Rippling, and in our Salesforce environment.
  • Run data migrations and validate the results: employee data, payroll history, benefit plans and deductions, and PTO balances.
  • Stand up the data interfaces that keep everything in sync, including benefits carrier EDI feeds and GL file feeds, partnering with our internal Technology team where deeper build is required.

Cross-Functional Partnership

  • Work hand-in-hand with Sales, Client Success, Service Delivery, Product, and Finance to align on client expectations, scope, pricing assumptions, and post-implementation transitions.
  • Be the connective tissue that ensures what was sold is what gets delivered.

AI, Automation, and Continuous Improvement

  • Identify and champion opportunities to apply AI, automation, and modern tooling to implementation workflows. This is a priority investment area for Melita.
  • Document and improve implementation workflows so each onboarding is faster and cleaner than the last.

What We Are Looking For

  • Very strong, hands-on experience supporting and implementing outsourced Payroll and HR services, ideally gained at a PEO, an HRO, or an HRIS technology vendor that installs a full HRIS together with outsourced services.
  • Hands-on HRIS implementation experience on one or more major platforms (ADP Workforce Now, Paylocity, or Rippling), including configuration and data migration.
  • Hands-on payroll processing experience, multi-state processing, tax setup, and mid-year conversions with YTD balancing

LeanTaaS’ iQueue for Surgical Clinics is the industry’s first end-to-end surgical coordination platform from the clinic’s front door to the hospital’s operating rooms. We are looking for a talented Product Implementation Manager to guide surgical practices through our healthcare optimization solutions, navigating complex scheduling while prioritizing patient care, building strong stakeholder relationships, and creatively overcoming implementation barriers. You’ll manage multiple customer implementations effectively, create custom workflow solutions, and serve as a trusted advisor to practices, balancing technical knowledge with exceptional interpersonal skills.

WHAT YOU’LL DO

  • Lead and independently manage customer implementations, from kickoff and discovery through data acquisition, solution design, product configuration, validation, and rollout, serving as the primary point of contact
  • Leverage deep understanding of surgical case management and perioperative workflows to guide scheduling, staffing, and operating room assignment processes, identifying and addressing any workflow gaps
  • Communicate technical requirements and ensure that customer IT and process teams clearly understand the data and setup needs for iQueue
  • Oversee the technical aspects of implementation, including building data pipelines, establishing system interfaces, and customizing workflows, while documenting all specific requirements and changes
  • Ensure prompt resolution of challenges while managing project progress and establishing post-implementation performance measurement
  • Monitor progress throughout implementation to ensure customer readiness at go-lives; proactively resolve risks, blockers, or misalignments always with an eye toward ensuring a smooth and positive customer experience
  • Identify opportunities for improvement, establish clear success metrics, track key performance indicators (KPIs), and recommend workflow enhancements, providing valuable product feedback based on customer needs
  • Drive adoption by building strong relationships with practice leadership and staff and developing super users within customer organizations

WHAT YOU’LL BRING

  • Bachelor’s degree in health sciences, engineering, business administration or related field or equivalent years of related experience
  • 3-5 years of customer-facing work experience in healthcare implementation
  • Track record of applying strong quantitative and analytical skills in prior roles
  • A maniacal obsession with customer happiness, success, and retention. You’re the type of person who will move mountains to solve problems and make people successful
  • Experience with general software implementation processes
  • Foundational knowledge of JavaScript, HTML, and/or CSS
  • Understanding of healthcare IT systems and data
  • Experience with project management and facilitating change management
  • Exceptional communication, organizational and stakeholder management skills
  • Experience working with cross-functional teams (engineering, product, marketing)
  • Strong problem-solving skills and a proactive approach to overcoming challenges
  • Willingness and ability to travel up to 35-50% nationwide

BONUS POINTS IF YOU HAVE

  • Master’s degree in business or healthcare field
  • Background in perioperative services, including knowledge of surgical workflows
  • Experience and passion for process improvement (Lean or Six Sigma training a strong plus)
  • Intermediate JavaScript skills
  • EMR integration experience (e.g. HL7, FHIR, Epic, Cerner, Athenahealth)

$90,000 - $125,000 a year

LeanTaaS takes a market-based approach to pay. The offered base salary will reflect careful consideration of a number of factors, including the level you are hired into, your location, skills and qualifications, prior relevant experience, internal equity, and market conditions. This range may be modified in the future.
